The Liferay DXP Workflow Process Builder is a crucial tool for large organizations, enabling the definition, deployment, and management of various business processes. However, amid the pandemic, it became apparent that the product needed a major overhaul to enhance user experience and streamline complexity.

Research

In response to changing user needs during the pandemic, this project aimed to redesign the Workflow Process Builder within Liferay DXP to ensure a more user-friendly experience and improve performance. Through interface analysis and benchmarking with users and P.O.'s, we developed the main existing flows with users who were familiar with the product and those who had not yet had contact with it.

Discovery Interviews

With PM's and PO's, it became clear that the product needed to deliver a better user experience, considering that out of thousands of users, less than 14% were using the product.

Benchmark

We searched for information and data about diagram products. Users want quick and easy actions that follow their rhythm and easy visualize the flow.

User Reasearch

Led a research with quantity and quality research. Our focus was understand the customer behave, and if that is covered by our product. 77% of the customer were using other services to design workflows and 90% were designed with Groovy developer support.

Through conversations with stakeholders to understand the business needs, we were able to gather more information and project limitations, maintaining alignment throughout the development process. We understood and defined user needs, choosing to focus on simplifying processes by incorporating dynamic behaviors in a new interface that is more visually aligned with Liferay's design. The opportunities aligned with expectations were:



01. Facilitating cognitive understanding of the interface;



02. Creating depth between interactions;


03. Ensuring legibility for any user level.



04. Adjust the design system for cards to be useful for multiple products.

We conducted ideation sessions and refined our design during the product launch phase. We iterated on the flow, copy, and how it would integrate into the newly launched product experience.


Subsequently, we carried out user testing to gather feedback from our initial clients.

We learned a lot from user testing sessions regarding flow, usability, and interactions. We continuously iterated along the way after each interview.


We discovered that we could introduce a pre-registration option in the app or during the first appointment, allowing users to input basic and some advanced information. This small addition resulted in a 20% increase in queue efficiency.

Results

Results

After this long journey of hard work and significant evolution in terms of teamwork communication, processes, and knowledge, we had two months of testing before the launch (end of 2021), and we proudly presented the update containing the upgrade of the old and unusable workflow process builder.


After 8 months of updates with new features and improvements, the results of Liferay DXP were published, bringing highlights about all products, including Workflow, speaking about improvements and new opportunities projection for the product. We had the incredible news that the feature had almost 500% new users compared to the previous year, which undoubtedly is also due to the incredible work of the marketing team. Another incredible highlight was the time of creating the same functions and expressions compared to the previous year, where we had a significant difference, showing that all the effort to develop a more accessible and performative product made all the difference in the final results.
